An inventory auditor's no. 1 priority is to make sure data in the company's computer system are accurate. The auditor accomplishes this by various means, including counting, data entry and reconciling. The inventory data are kept accurate by adjusting the computer inventory to whatever the physical count is. This is done on a daily basis so the data in the system reflect what is physically sitting on the shelf. The purchasing, planning and forecasting departments rely heavily on the accuracy of the inventory data in the computer system.
The auditor position is responsible for counting all physical inventory, generating department audit reports, reconciling computer data with the physical counts taken and reporting on errors found. The position works with each department to suggest ways to reduce errors in inventory accuracy. The inventory auditor also performs inventory audits of paperwork and data entry at the receiving warehouse, each department transfer area and any of the outbound areas, such as shipping.
The inventory auditor assists with general tasks in the stock-room and in departments within the store. She reviews daily sales reports and negative inventory reports to locate discrepancies in data. She spends time interacting with personnel in each of the departments to learn of any problems that may have occurred or issues that are unresolved. The auditor also communicates on a regular basis with warehouse and accounting team.
- Ensure data in the company's computer system are accurate responsible for counting all physical inventory, generating department audit reports, reconciling computer data with the physical counts taken and reporting on errors found.
- Lead daily audit cycle counting activities by physically counting items and directing designated personnel to count items in accordance with the audit cycle counting set forth by Finance Division
- Ensure that inventory data are kept accurate by reconciling the system inventory to actual physical count
- Investigates variances and develop and implement data analysis tools and techniques to effectively determine the root cause of inventory discrepancies
- Identify loopholes and recommend risk aversion measures and cost savings
- Generates daily store and warehouse audit reports, document process and prepare audit findings memorandum
- Maintain open communication with management
- Engage to continuous knowledge development regarding sector’s rules, regulations, best practices, tools, techniques and performance standards
- Review the success of logistical functions, identify areas for improvement and propose improvements to management
- Other duties as may be assigned
Minimum Qualifications
- Data entry – use of keypads to count inventory items
- Communication skills – use strong written and verbal communication skills to write inventory reports and interact with customers, in-store staff members, and supervisors
- Math skills – assigned to count merchandise items, sometimes in large warehouses, which requires basic math skills
- Attention to detail – need strong attention to detail to notice damaged products and other inventory problems that may ultimately affect sales
- Computer skills – to work with electronic tools and record inventory data
- Physical fitness – will spend their workday standing, lifting, bending, and squatting to count inventory, which requires strength and endurance
- Organization skills – inventory auditors use organization skills to rotate stock and take accurate inventory counts
- Must be a team player, work well unsupervised and be self-motivated.
- Must have previous experience with Microsoft software, including Excel, Word and Outlook, as well as experience with retail management software
- Ability to manipulate large amounts of data and to compile detailed reports
