Job Description
Will work directly with the founder of an interior design and hospitality/food and beverage management consulting company that handles pre-opening and established hospitality establishments and residential projects.
The Executive Assistant supports the work of managers and company directors for whom they are hired to undertake a variety of administrative, clerical and managerial tasks; and often act as the manager's first point of contact.
The role of the assistant can be varied, such as answering phone calls, taking notes, scheduling meetings, etc. In business or personal contexts, assistants are people who provide services that relieve his or her employer from tasks that are associated with managing one's personal and/or business life.
DUTIES AND RESPONSIBILITIES:
Provide administrative/personal support focusing on:
- Assist in creating and writing reports, business documents, forms, and letters
- Record keeping, encoding and tabulation of data
- Coordinating and scheduling meetings and/or appointments
- Outsourcing and coordinating with suppliers, placing and expediting orders, verifying receipt of supplies and payments
- Answering telephone calls
- Maintaining journals and logs
- Taking messages
- Typing/word processing
- Filing
- Booking transport and accommodation
- Managing databases
- Implementing and maintaining procedures/administrative systems
- Liaising with staff, suppliers, and clients
- Preparing letters, presentations, and reports
- Performs other administrative or personal duties as needed.
SALARY
- Depends on experience and skill set
May work from home but must be able to attend meetings around Metro Manila, as necessary, up to five times a week.
Minimum Qualifications
BACKGROUND
- Candidate must possess at least Vocational Diploma/Short Course Certificate, Bachelor’s/College degree in Business Studies/Administration/Management, Secretarial or equivalent, Education/Training/Teaching, Hospitality/Tourism/Hotel Management, Human Resources Management, Interior Design
- Preferably with exposure in interior design, food and beverage and other departments in the hospitality industry
- With at least 2 years work experience preferably specializing in Secretarial/Executive & Personal Assistant or equivalent
Knowledge and Skills
- Must be able to work independently with minimal supervision
- Strong analytical and planning skills
- Excellent problem-solving skills
- Interested candidate must be pro-active and efficient, committed to delivering quality results on time
- Must be detail oriented, results driven, and be adept in reporting, administrative writing, organizing & analyzing data, and problem-solving
- Must be fluent in English and have excellent communication and writing skills
- Must be knowledgeable in Microsoft Office (Word, PowerPoint, Excel) – able to create presentations, reports, spreadsheets and graphs
- Flexible, good interpersonal skills, ability to multitask
- Secretarial skills
- Must be well groomed at all times
- Must have their own laptop, preferred
- Mobility a huge plus but not necessarily a must (car)
