Job Description
Under the direct supervision of the Procurement Officer, the Procurement Assistant will primarily assist and provide administrative and technical support to the Procurement Officer in ensuring that the company has a sufficient and constant supply of materials as required for effective company operation and negotiation deals with potential suppliers. Assists Procurement Officer and the Management in the development and implementation of a formal program to audit all areas related to inventory movement.
JOB RESPONSIBILITIES:
Purchasing
- Orders supplies and schedules deliveries to ensure that the company has enough necessary materials or equipment.
- Contact vendors to obtain information regarding shipping status of orders or special orders placed by the department.
- Records or documents change prices, mark-ups, or markdowns of merchandise according to established procedures.
- Compiles balance, price, and cost reports.
- Ensures suppliers’ payment.
- Maintains Procurement Reports.
- Assists and works with accounting to meet goals.
Inventory Control
- Monitors current inventory.
- Maintains and updates Inventory Records.
- Counts materials, equipment, merchandise, or supplies in stock.
- Conducts Quarterly Physical Count and regular cycle counts.
- Reports discrepancies between physical counts and systems records.
- Checks inventory periodically to determine reordering needs and verify with records; requisitions standard stock items, supplies, or materials within established limits; notifies designated staff of fast-moving items.
- Gathers requisitioned supplies, merchandise, or materials and prepares for delivery or pick-up.
Warehousing
- Counts, sorts, and checks incoming deliveries; verifies against requisitions, shipping notices, or invoices; places deliveries in the stockroom.
- Maintains cleanliness and orderliness of the stockroom.
- Places or changes tags, markers, or labels on shelves to identify stock.
- Packs and ships packages according to standard procedure.
- Assists in locating needed merchandise, materials, or supplies.
Minimum Qualifications
JOB REQUIREMENTS:
Bachelor’s degree or equivalent in Business Studies/Administration/Management, Finance/Accounting/Banking, Supply Chain, Engineering or related discipline.
With at least 1 year of experience but fresh graduates can be considered.

- Knowledge of procurement process, policies, and procedures.
- Good organization skills, proven time-management skills, and keenness for details.
- Adept in scheduling orders and deliveries so as not to result in lags in the workflow.
- Resourceful and high sense of integrity.
- Excellent in Negotiation Skills.
Technical Competencies
- Computer literacy involving familiarity with Microsoft Office software, especially excel, google sheet and awareness of inventory management systems.
- Understanding of contract management, archive management, Project/service management, business process improvement/analytics & Material/Warehouse Management.
- Importation experience is a plus but not required
