Job Description
Mission: The Finance and Treasury Assistant is responsible for bookkeeping, monitoring of the cash position of the company, payment of suppliers, staff and government agencies, ordering of office supplies and providing general clerical and administrative assistance to management.
Responsibilities:
Accounting
- Bookkeeping - Manual Books & System
- Monitor PDCs and preparation of deposit slips
- Prepare monthly bank reconciliation for all banks
- Monitor and identify direct deposit to banks by clients
- Prepare check for payment to suppliers and staff in a timely manner
- Tag, monitor and prepare lapsing schedule for fixed assets
- Prepare and submit reports and payments to various Government Agencies as they become due
- Withhold necessary taxes from payment to suppliers and remit to BIR as they become due
- Petty cash fund custodian
- Prepares schedules required by auditors
- Maintain an orderly filing of accounting records and documents
- Maintain chart of accounts
- Provide clerical and administrative support to management as requested
Treasury
- Responsible for Invoicing and OR
- Timely and accurate encoding of Invoice and OR on the accounting software
- Creation of manual Invoice and OR for tax bureau compliance
- Updating manual Sales and Receipts Book
- Encoding manual journal & credit notes on the accounting software for various adjustments
- Preparation of SOA for special accommodation as requested by Sales Team
- Checking of Contracts and Invoices sent automatically by SF
- Tagging of PDCs on Salesforce
- Regular write-off of open invoices
- Responsible for updating the Revenue Tracker
- Assigns Provisional Receipt booklets to sales
- Calculates penalty for late payments
- Receives and files contracts, deposit slips, check information in hard copy and online
- Cross-departmental communication with the sales and AM teams on accounts uncollected
- Reconciliation of revenues, A/R & Deferred Income in SalesForce, Revenue Tracker & Xero
- Prepares schedules as required by the auditors
- Looks for ways to improve the revenue collection + administration processes
- Other tasks that may be assigned by manager
