Job Description

  • Provide general support to executive requirements and other officers of the Company as well as clients or suppliers for meeting/ proposal discussion or presentation.
  • Responsible for overall office maintenance to include but not limited to its safety and security ensuring that all doors are securely locked and secured.
  • Coordination with the Management re: proper response for any unusual event that occur which require immediate resolution, rectification or countermeasure.
  • Responsible for the assigned facility comprising security service (CCTV) and service maintenance of equipment and facilities under general services (if there is a need) following Management approval. Makes follow through.
  • Responsible for the Maintenance of pantry for all associated offices of KBMC, to mention:
    • its cleanliness and orderliness by placing all items i.e. dining and kitchen supplies in its proper place (maximizing all cabinets to arrange and place all non-commonly used dining and kitchen supplies)
    • scheduling of cockroach pest control
  • Responsible for the end to end purchasing process including receiving based on the correct specification and good quality, inventory and supplies management.
  • Responsible for the distribution of supplies/equipment based on approved request. Conducts inventory and maintain sufficient stock of commonly used supplies.
  • Responsible for monitoring, updating and renewal of all administrative contracts/agreements. Maintains database for easy monitoring and retrieval of information.
  • Prepare and submit report for updates, reviews and recommendations.
  • Provide administrative support to Management and other heads.
  • Maximize Company resources by:
    • Conducting wide canvassing of prices from a reasonable number of prospective suppliers.
    • Diligently scrutinize specification of each product option and going beyond the shallow basis of mere price consideration
    • Come up with practical ideas of ways and means to maximize usage of supplies, equipment and fixtures.
  • Utilize office space to optimum capacity by maintaining orderliness in placing/arranging and storing of supplies, including equipment &fixtures.
  • Responsible in handling petty cash requisition of Office requirement amounting to less than Php 1,000.00 for both Binondo and Valenzuela. For over Php1,000.00 following Valenzuela request, verification and approval must be made from the Finance Department.
  • Updates in excel file copy of petty cash request.
  • Perform other duties as may be assigned from time to time.

Minimum Qualifications

  • A graduate of Bachelor's/College Degree in Business Studies/Administration/Management or equivalent
  • With minimum 5 years solid experience in administrative functions in retail growth industry environment.
  • Preferably with experience in leading the Admin Department
  • Has the personality to PUSH others and leads the group to achieve best result
  • With good oral and written communication skills
  • Proficient in providing information and communication management
  • Must have the ability to multi-task, has initiative and mature enough to be able to adapt pressure at work
  • Highly organized and with strong attention to details
  • With experience in Project Management
  • High computer literacy
