Job Description
- Received phone calls, incoming & outgoing documents and in-persons visit.
- Ensure that all records, forms, and all other documents necessary for the smooth flow of operations are organized, updated and secured.
- Record and endorse request of the Property Management Office in purchasing building supplies. Includes Endorsement Letter, canvass sheet, abstract of canvass and other related documents needed for approval.
- Monitor the Property Management Office on the purchases of equipment, tool, office furniture and fixtures, consumable supplies and materials needed for the operation of the projects based on the approved purchase order.
- Prepares Purchase Order if necessary.
- Monitor the expiration/renewal of Service Agreement (Property Management, Security, Janitorial, Pest Control, General Services, etc.)
- Schedule regular meetings with the Property Management Team including all service providers of respective projects.
- Prepares and endorsed billing of all Keyland service providers.
- Monitor collection of funds to ensure that all association dues, other assessments and other revenue sources are properly billed and collected on time.
- Monitor permits and licenses of all respective projects.
- Monitor insurance policies of all the buildings.
- Prepares and endorse quarterly procurement of office supplies needed for the day-to-day operation of the Property Management Office.
- Ask proposal and quotations from different service providers.
- Assist on the marketing and leasing of all office/commercial units.
- Update master list of lessees including their Lease Period.
- Assist in viewings, unit inspection and entertains prospective clients including brokers in giving information on the available leasable space and its terms and conditions.
- Ensures that the Lessee's 201 files are regularly maintained at all times.
- Provides support to Property Heads.
- Perform other tasks that may be assigned from time to time.
Minimum Qualifications
- College Graduate with a degree in Building Technology or any business related course
- Minimum of one (1) year experience in property administration and actual experience in real estate and property development an advantage
- Strong analytical and planning skills;
- Good communication and presentation skills;
- Excellent problem-solving skills;
