Job Description
OPERATIONS AND CONTROL
Acts as primary custodian of Cash-in- Vault.
Monitors compliance with prescribed policies and procedures on vault security, particularly the confidentiality of combinations of cash and main vaults, vault opening & closing, authorized access of personnel to the vaults
Ensures that logbook maintained for vault in and out are properly filled out.
Ensures that dual control of the vault access and cash items
Manages cash level and requirements of the branch
Ensures the safe transfer of cash requisitions and excess cash to and from the Branch’s depository bank.
Follows prescribed safety and security measures on branch opening and closing.
Oversees the deposit of checks received for the day to the Bank's depository bank.
Manages and monitors Opex and CIV Bank accounts of the Branch
Services cash requirements of Tellers; ensures that their cash holdings are within prescribed limits.
Performs cash count of Tellers’ picos at end-of day.
Counts the petty cash fund on a daily basis and counter checks if disbursements are
accounted for
Performs end-of- day cash balancing to ensure CIV balances with Cash Proof, GL and SOC.
Oversees the daily run-up of all GL/SL account balances, reconciles discrepancies, and makes adjusting entries, when necessary.
Reviews all required reports for accuracy/ correctness of data.
Processes new account openings and ensures that new accounts are processed according to prescribed policies and procedures.
Checks and approves all CTD transactions processed, including rollovers and interests rates (if applicable).
Performs monthly checking and run-ups of CTDs to ensure the balance tallies with the GL and SOC (if applicable).
Approves cash withdrawals and check encashments within the prescribed limit of authority; checks withdrawable balances during system “off-line”.
Confirms with client check issuance and withdrawals above prescribed limit
Performs signature verification on withdrawal slips, checks for encashments and closure of accounts
Ensures that deposit transactions comply with prescribed policies and procedures; refers irregular deposit transactions to BM for appropriate action.
Facilitates inter-branch transactions and advise
Makes necessary decisions for mishandled accounts
Safekeeps and books the checks received after cut-off time.
Maintains and books items held for safekeeping
Override Tellers’ transactions according to prescribed guidelines.
Performs daily callbacks of Tellers’ transactions.
Ensures that transactions are booked in their proper GL accounts.
Ensures that system requirements in conducting daily transactions are properly implemented and complied with.

4. Performs auto regularization during BP accommodations or force clearing with
necessary approvals
Acts as custodian of returned “other bank” checks; advises and releases returned items to clients within the prescribed period.
Ensures that Specimen Signature cards are maintained
Controls the petty cash fund of the Branch; reviews all PCF disbursements to ensure
legitimacy of expense; notes request for PCF replenishment for approval by BM.
Is co-custodian of accountable forms and controls the working and nonworking supply of the Branch.
Periodically sends out the needed letters of advise to clients
Requests of checkbooks (pre-encoded and re-ordered)
Releases checkbooks to clients and maintain
Checks the SOA and inserts the OTC transaction documents (checks, dm,cm) upon receipt of SOA for CCCU.
Ensures that SOA of checking account holders are properly delivered or picked up and received
Safekeeps and monitors post dated checks turned over by Account Officers (if applicable)
Monitoring of high risk accounts
- significant movement report
Acts as primary custodian of ATM, manages cash level and performs replenishment of cash in ATM (if applicable)
Encodes and posts outward clearing items for proper settlement withing the day
Sends out outward clearing items on time to HO_CCVU or PCHC drop points
Ensures that before executing action that necessary written approvals are provided by BM/AO/SO/Relationship Managers/other departments

BRANCH MANAGEMENT
Ensures that guidelines on cleanliness and cost-effective use of Branch resources are followed by Branch personnel.
Monitors Branch expenses and use of supplies and utilities; accounts for any significant increase; recommends actions to minimize operating costs.
Controls/ authorizes access of branch personnel to specimen signature cards, credit folders and other confidential records.
Ensures that all confidential files are properly filed and secured in the branch vault.
Enforces compliance with all policies, procedures and internal control measures/ standards of the Bank and government regulatory agencies.
Ensures that confidentiality of assigned User IDs and passwords are maintained at all times.
Ensures that requests for system ID activation and deactivation approved and requested in the case of absences due leaves or official business
Reports to the proper authorities all irregularities, fraud and other acts, real and potential, that are detrimental to the Bank.
Reviews attendance reports of all branch personnel and applies appropriate corrective measures in cases of habitual tardiness and absenteeism.
Performs certain functions of direct reports in case of absence or other circumstances that may hamper smooth flow of operations.
As alternate, reviews loans applications for processing within the prescribed approving authority.
As alternate, reviews loan folders to ensure the submission of primary documentary
requirements and approval by proper authorities before authorization of AF release.
Undertakes client interface in-premise to establish/ maintain client relationships.
Implements, and monitors compliance to, the Bank’s customer service policies and
procedures.
Monitors turn-around- time of branch services and recommends improvements, when
applicable.
Ensures that clients' requests and questions are promptly resolved. Handles/ documents clients; complaints and refers to Branch Manager, when necessary.
Assists the Branch Manager in the conduct of regular weekly meetings to inform, update and coordinate day-today work activities.
Tracks individual progress and conducts performance appraisals on direct reports twice a year.
Helps formulate and implement staff development plans, if needed.
Recommends training of staff within the Branch.
Orients new employees on all phases of branch operations, with emphasis on the specific aspects of their job.
Reports any violation of the Bank’s Code of Conduct by branch personnel to the Branch
Manager and recommends appropriate constructive/ corrective measures.
Ensures that equipment in their watch used for processing of transactions are maintained and working
Maintains needed logbooks for proper recording
Monitors ATM performance and ensures that ATM shall be properly maintained by the the service provider (if applicable).
Conducts testing of alarm system and generator
Minimum Qualifications
-Must have at least 3 years experience in branch operations.
