Job Description

Position Summary: The incumbent is responsible for monitoring and for applying accounting policies and procedures related to accounts receivables of employees such as cash advances, liquidations, reimbursements, etc.

Essential Duties and Responsibilities:

  1. Cash Advance:
    1. Monitors and records employee’s outstanding balance on Cash Advance Form (CA) to determine its status, whether current or overdue according to aging.
    2. Assign Cash Advance control number per CA request for documentation and monitoring.
  2. Liquidation:
    1. Monitors and records employee’s outstanding balance on Daily Expense Summary form (DES) to determine its status, whether current or overdue according to aging prior to its approval and audit.
    2. Records and monitors the DES transaction in the accounting system (QNE).
    3. Ensures that attachments are complete and liquidated amount is the same amount as advanced. Checks if Provisional Receipt is included as attachment if cash advanced is greater than the amount liquidated to determine if outstanding balance is returned to the Company. Attaches Journal Voucher if the cash advanced is less than the amount liquidated, for verification, approval and release of reimbursement.
    4. Systematically files documents on liquidations.
  3. Reimbursement:
    1. Monitors and records employee’s outstanding balance on Daily Expense Summary form (DES) to determine its status, whether current or overdue according to aging prior to its approval and audit.
    2. Checks journal entries are correct such as the codes, charged properly to the correct project and/or department, Input VAT, etc.
    3. Records and monitors the DES transaction in the accounting system (QNE) for petty cash replenishment.

Others:

Report Preparation:

  1. Prepares Provisional Receipts monthly reports.
  2. Prepare bimonthly summary report based on the accounting system and manual report and submits to immediate superior for checking.
  3. Distributes copy of the AR report to respective departments for their reference.
  4. Files AR employee reports and all corresponding documents such as journal vouchers according to employee’s name.

Minimum Qualifications

Position specifications:

  • Must be knowledgeable on the principles of accounting.
  • Must have adequate skills on problem solving, decision making and judgment, verbal and written communications.

Position requirements:

Education: Bachelor Degree in Accountancy, Finance and other related course
