Operations Executive  

Duties and Responsibilities:

Data entry

• Accurately enter pertinent data points onto First Circle & external systems and increase customer satisfaction with the disbursement process
• Manage workload for fast and reliable execution to provide a consistent time taken to verify cheques
• Preemptively identify errors in information logged by the client to allow them to re-upload accurate information and assist them to get funds in their account in a timely manner

Cheque collection

• Build a system to quickly and accurately find the relevant details for correct and swift pick-up
• Liaise with the client and sales where appropriate to reduce the possibility of friction and missed targets
• Actively manage the pick-up process to identify cancelled deliveries or errors made by external parties in a suitable timeframe and rectify as appropriate to as to manage expectation
• Drive process improvements
• Find ways to increase the volume of cheques that can be collected in a set timeframe
• Create feedback loops to raise common customer issues to improve the overall process
• Proactively seek to identify how to improve the standard operating procedure (SOP) to drive efficiency gains and increase internal productivity
• Identify ways to improve the end to end process and fix issues with current process
• Identify alternative cheque collections partners for more efficient cheque collections
• Maintain and develop a new company wide cheque management system
• Work with the Tech team to implement new systems to aid day-to-day operations

Due to company growth, we require an Operations Executive to support our Treasury Operations team that is hard working and has a high attention to detail. The Operations Executive will be responsible for the physical collection of post-dated cheques required to disburse loans in a manner that helps funds to be disbursed into the clients account within an appropriate timeframe. The cheques collection process is split into two key parts, data entry and validation, and the arrangement and oversight of physical cheque collection. For the first component, the Operations Executive is responsible for ensuring that cheques uploaded electronically by the client matches the related loan plan. They must also ensure that pertinent information is accurately logged to the First Circle database with minimal errors. The second component requires the Operations Executive to verify the validity of the cheque. They are responsible to arrange for the collection of the cheque and must plan appropriately so to ensure timely pick-up of the cheques from the client. The Operations Executive plays an essential role in ensuring a smooth and timely cheque collection process for the client. They will be accountable for driving improvements in cheque collection process efficiency so First Circle can handle increased volumes of cheques over time. The Operations Executive will work closely with the customer, sales and finance teams to execute on their objectives
