Job Description

Position Summary

The BSI (Business Systems Intelligence) Staff is responsible for assisting the BSI Supervisor in the development and implementation of operating policies and procedures of the company.

Documentation of the Operating Manual System (OMS)

  • Receive request of OMS documentation or revision from concerned departments.
  • Revisit existing OMS and update/revise policies and procedures that are already outdated and needs amendment.
  • Coordinate with Process Owners and facilitate meetings to discuss scope of work, Work Breakdown Schedule (WBS) and other aspects related to the documentation of OMS;
  • Conduct interviews with personnel, do research, and gather needed data such as forms being used, reports being prepared, system being accessed, etc., in relation to the procedure to be documented.
  • Review and analyze information gathered and formulate suitable procedures based on the requirement of the department.
  • Draft the OMS and send it to immediate superior for initial review and to all concerned department heads for their review and inputs.
  • Finalize the OMS based on inputs of concerned department heads and print a copy for routing and signature.

Dissemination of the Operating Manual System (OMS).

  • Post approved OMS in OMS Online (system) and maintain a controlled copy (hard copy) in file.
  • Prepare presentation material and coordinate cascade requirements such as schedule, venue, and attendees.
  • Conduct training/cascade to the concerned department prior to the implementation of OMS. Conduct orientation to newly hired employees and re-orientation/refresher to old employees, when needed.

Other Duties and Responsibilities

  • Attend to queries of other departments in relation to documented OMS (OMS Consultation)
  • Perform research and benchmark practices to continually improve operating policies and procedures.
  • Introduce system developments/enhancements (process automation initiatives).
  • Perform other duties as required by the immediate superior and/or Department/Division Head.
  • Evaluating business process, anticipating requirements, uncovering areas for improvement, and developing and implementing solutions.
  • Researching progressive systems solutions to evaluate impact.
  • Leading ongoing reviews of business process and developing optimization strategies
  • Staying up-to-date on the latest process and IT advancements to automate and modernize systems
  • Performing requirements analysis
  • Effectively communicating insights and plans to cross-functional team members and management
  • Gathering critical information from the meeting and producing useful minutes or reports
  • Working closely with clients, technicians and managerial staff
  • Allocating resources and maintaining cost efficiency
  • Ensuring solutions meet business needs and requirements
  • Managing projects, developing project plans and monitoring performance

Minimum Qualifications

Qualifications

  • Bachelor’s Degree in Industrial Engineering, Computer Science or IT
  • Preferably with Master's in Computer Science or IT
  • With Real Estate Background
  • With at least 2 years of experience in developing company business policies and processes
  • Preferably with Business Writing and Presentation Skills Training
  • High proficiency in database management
  • Practical experience generating process documentation and reports

  • Must have excellent written and verbal communication skill (good business writing)
  • Proficient in MS applications (Word, Excel, PowerPoint) and other flowcharting tools (Visio, Oracle Tutor Author)
  • Can deal with all types of people
  • Optimistic, enthusiastic, with strong customer focus and results-oriented
