Job Description

The Operations Assistant is responsible for the administrative and operations of Estate Management and handles locators' concerns, inquiries, and complaints.

Description of Functions:

  • Manage administrative, operations and coordination requirements of the VP for Estate Management
  • Composition of memorandums, correspondences, reports, materials for publications and presentations, editing and proofreading of materials
  • Prepare minutes of the meeting
  • Calendar and monitor activities of the VP. Assist in the planning and scheduling of meetings and conferences. Ensure all equipment are properly set up.
  • Attend and respond to work-related needs of the group as directed by the VP for Estate Management. Ensure to provide assistance and availability of resources requested by group members
  • Dissemination of information to the group regarding new internal company policies, rules and regulations, and other important information
  • Assist in preparation of team building, strategic planning and KRA of team
  • Coordinate and assist locators with regards to activity or events that will be done in their building or property and ensures that all involved parties are properly informed
  • Conduct audit of all files, plans and other pertinent documents regarding locators
  • Perform other related duties and tasks required by the Department Head

Minimum Qualifications

  • Must be proficient in English both written and oral
  • Can work with minimum supervision
  • Visibility of work requires attention to details, excellent organizational skills and analytical skills
  • Experienced in business development and marketing events
  • Knowledge in basic accounting
  • Excellent customer service skills
  • Must be a graduate of Business Administration/Management or equivalent
  • With at least 1-2 years of work experience in office administration
