Job Description
Summary
Provide administrative site support including preparing written correspondence, transmittal copies, data entry, maintaining spreadsheets and files, typing documents, and assisting with special projects as assigned.
Essential Duties &Responsibilities
- Prepare written correspondence, facsimile cover sheets, transmittal copies, and various other documents including but not limited to letters, memos and reports.
- Execute mailing, inter-site shipping and courier process of the company.
- Handle and process office supply requisition, including but not limited to purchase order and payment facilitation.
- Ensure accuracy, approval and timeliness of cash advance and reimbursement requests and liquidation.
- Assist with preparations and hosting Client Visits.
- Handle and process all copying and filing needs for the department(s).
- Assist in maintaining and organizing Vendor files.
- Knowledge, understanding, and compliance with all applicable Federal and Local laws and regulations relating to job duties.
- Provide feedback to management concerning possible problems or areas of improvement.
- Make recommendations to implement improved processes.
- Responsible for understanding and complying with all policies, procedures, and regulations relating to job duties.
- Perform other duties as assigned by management.
Minimum Qualifications
Qualifications & Requirements
Education:
- Minimum of 2 years university and 2 years work experience or Bachelor's Degree.
Experience:
- Typically has 1 to 2-year experience.
Knowledge, Skills, Abilities & Other Characteristics:
- Proficient with Microsoft Office software, knowledge in Adobe a plus. Ability to type 35 words per minute.
- Excellent interpersonal, written, and oral communication skills.
- Ability to prioritize and organize work in a multi-tasked environment.
- Ability to adapt to a flexible schedule and able to maintain the highest level of confidentiality.
- Learn and apply basic skills appropriate for the position.
- Duties and tasks are standardized.
- Work under direct supervision with very structured guidance regarding standard processes and procedures.
- Performance is measured by recruitment metrics.
