Job Description

DAY SHIFT | WEEKENDS OFF

  • Provide personal administrative support to management and the company through conducting and organizing administrative duties and activities including receiving and handling information.
  • Financial management of bills, payments, liquidations, cash position and investment reports using Quickbooks
  • Prepares and manages correspondence, reports, and documents
  • Takes, types and distributes minutes of meetings
  • Maintains schedules and calendars
  • Arranges and confirms appointments
  • Organizes internal and external events
  • Handles incoming emails, mail and other material
  • Maintains document management systems
  • Collates information
  • Communicates verbally and in writing to answer inquiries and provide information
  • Liaison with internal and external contacts
  • Undertakes related and other tasks as may be assigned from time to time
  • Read, analyze, organize, and report incoming memos (e-mails, scheduled meetings/appointments).
  • Prepare agendas and make arrangements for committee, board, and other meetings.
  • Manage and maintain Executives' schedules.
  • Compile, transcribe, and distribute minutes of meetings.
  • File and retrieve corporate documents, records, and reports.
  • Supervise and train other clerical staff.
  • Make travel arrangements for the Executive/s.
  • Meet with individuals, company initiatives and meetings on behalf of the Executive.
  • He/she will act as the Executives' second brain.

Minimum Qualifications

  • Candidate must possess at least a Bachelor's/College Degree in Business Studies/Administration/Management, Finance/Accountancy/Banking or equivalent.
  • At least 1 Year(s) of working experience in the related field is required for this position.
  • Required Skill(s): computer knowledge and literacy with spreadsheets and word processing; proficient verbal and written communication skills; planning and organizing skills; time management skills; keen attention to details; confidentiality; interpersonal skills; customer service orientation; with initiative and reliable; stress tolerance
  • Preferably 1-4 Yrs Experienced Employee specialized in Secretarial/Executive & Personal Assistant or equivalent.
