Job Description

The Project Coordinator is an integral member of the project team responsible for delivering building development projects of varying size and complexity. The Project Coordinator is responsible for directing, organizing and controlling project design activities under the direction of (but often working independently) the Design Manager (DM) .

We are looking for a responsible Project Coordinator to administer and organize all types of projects, from simple activities to more complex plans.

Project Coordinator responsibilities include working closely with our Design manager to prepare comprehensive action plans, including resources, timeframes and budgets for projects. You will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. To succeed in this role, you should have excellent time management and communication skills, as you’ll collaborate with clients and internal teams to deliver results on deadlines.

Ultimately, the Project Coordinator’s duties are to ensure that all projects are completed on time, within budget and meet high quality standards.

  • Organizes and attends meetings and assist with determination of project requirements.
  • Keeps detailed project notes and records.
  • Monitors project schedules, project progress, budget, hours, etc.
  • Create task lists for team members
  • Tracks and manages all project design documentation
  • Keep all members of the team up-to-date with current information and paperwork
  • Communicates with seniors and team members to ensure optimal strategy and maximum efficiency.
  • Assist in the drafting and issuance of project proposals, RFP’s, tenders, budgets, cash flows and preliminary schedules.
  • Assist in the preparation of project organization and communication charts.
  • Chair site meetings and distribute minutes to all project team members
  • Track the progress and quality of work being performed by design disciplines/trades
  • Use project scheduling and control tools to monitor projects plans, work hours, budgets and expenditures
  • Effectively and accurately communicate relevant project information to the client and project team.
  • Ensure clients’ needs are met in a timely and cost effective manner
  • Review field inspection reports from Consultants throughout the lifecycle of the project
  • Assist the Project team in the review of Contractor quotations to ensure that only fair and reasonable pricing is recommended for approval.
  • Track & manage contemplated change notices and change orders in the database .
  • Prepare substantial completion certificates and ensure all required project close out documents are obtained
  • Keep the Project Team and others informed about project status and issues that may impact client relations.

Minimum Qualifications

  • Licensed Architect/ Electrical/ Mechanical Engineering
  • 3-5 years of experience in the delivery of development/assistance projects.
  • Knowledge of the building development/redevelopment industry.
  • Familiarity with construction methods and the building codes.
  • Must possess excellent English communication skills including verbal, written and presentation skills.
  • Proven ability to work effectively both independently and in a team-based environment.
  • Demonstrated willingness to be flexible and adaptable to changing priorities.
  • Strong multi-tasking and organizational skill
  • Strong client-facing and teamwork skills
  • Strong working knowledge of Sketch Up, Autocad Software, and Microsoft Office.
  • Hands-on experience with project management tools (e.g. MS Project, MS Excel, Basecamp, TeamGantt).
