Job Description

DSM Manila LLC is a shared services subsidiary for White & Case LLP, one of the world’s leading law firms. Established in 2007 with an initial group of 5 employees, the company has grown to its current staff of 300 as it continues to provide the best solutions support for all White & Case offices.

The Legal Database Specialist is a member of the White & Case Knowledge Department, reporting to the Senior Manager of Knowledge Resources, who will help manage specific substantive resources and related processes to meet the Firm’s knowledge needs, including updating attributes of forms and research materials in the Firm’s Knowledge Bank and elsewhere, updating descriptions of legal matters, configuring entries in the local counsel database, assisting with Intranet content configuration, and providing other data entry and resource configuration support as may be needed.

As a Legal Database Specialist, you will be responsible for the following:

Knowledge Bank (a collection of standard forms, precedents, know-how and other practice-related materials):

  • Provide technical support to the KR Manager and Knowledge Bank Coordinator;
  • Help post and configure content in the KB based on established policies;
  • Familiar with the Knowledge Bank Monitoring and Clean-up processes;
  • Perform other functions as required by the Knowledge Bank Coordinator and KR Manager.

Electronic Closing Binders

  • Communicate with Document Services Team regarding ECB submissions for uploads;
  • Notify ECB submitters after their ECBs have been uploaded into the Closings Library in the Document Management System;
  • Upload ECBs into the Closings Library in the Document Management System;
  • Provide technical support to the KR Manager, KR Assistant Manager and KR Supervisor;
  • Work with the Knowledge Department and Practice Groups, Regional Sections, Client Teams, Industry Groups and Interest Groups to help them in their research and/or access to ECB documents uploaded in the Closings Library;
  • Perform other functions as maybe required by the KR Manager.

Other responsibilities include:

  • Assist lawyers and others with queries in relation to standard forms, know-how, training and other issues;
  • Participate in Knowledge Department meetings and assist as needed with Knowledge initiatives;
  • Contribute to Knowledge Department projects and initiatives whenever required;
  • Produce videos with the use of relevant software whenever required;
  • Provide technical support regarding other Knowledge Support systems and activities such as the Law Firm Referrals System and Filed Litigation System;
  • Update content entries on Connect;
  • Configure documents in accordance with established Firm processes and procedures;
  • Prepare Utilization and Accomplishment Reports;
  • Coordinate and organize (with others) processes to ensure timely upkeep of practice-related entries in the Firm’s matters database
  • Update entries in the Firm’s local counsel database
  • Perform other functions as required by the KR Manager

Minimum Qualifications

For you to succeed in this role, you will need:

  • Graduate of Bachelor’s Degree
  • Experience with Microsoft Word, Visio, Powerpoint, and Excel.
  • 2 or more years related work experience
  • Excellent written and oral communication skills
  • Adaptable to changing work hours (including New York shift)
  • Demonstrates the ability to take on multiple tasks
