Job Description
The Procurement Administrator will provide back-end support for the Purchasing Team and ensure accurate data is recorded into the ERP system.
General Responsibilities:
- Entering dates into client software as per Supplier backorder reports
- Follow up enquiries sent to the Purchasing Mailbox from the Sales Team
- Follow up with Suppliers to ensure most up to date and accurate information is recorded in client software
- Create Purchase Orders as required and other Ad Hoc tasks
- Warranty and Installation Administration Competencies required
Key Responsibilities:
- Upload and enter data into client software based on Backorder Reports sent from Supplier. This may be daily or weekly
- Reconcile backorder reports with those from Suppliers to ensure client software information is correct
- Answer inquiries sent to the Purchasing Mailbox
- Follow up Suppliers for current data
- Reply to staff member with the information or update client software with new data
- Investigate availability of stock with a supplier when asked
- Raise purchase orders within assigned boundaries
- Efficiency of reply
- Notify purchasing team if urgent action is required
- Raise and send warranty and installation purchase orders inside client software at the correct price
- Receipt the purchase order and invoice the Customer
- Send Warranty Certificate through to Customer
- Importing New Price Lists o Importing New Product Codes
Minimum Qualifications
- Candidate must possess at least 2 years of college or Associates/Bachelor's Degree or equivalent experience
- At least 2 to 3 years of relative work experience in administrative capacity
- Relevant experience in data entry and file maintenance and delivering customer service
- Proficient in MS Office Applications
- Knowledge or experience in ERP system or Zendesk is a definite advantage
- Intermediate Excel Skill is required
- Proven ability to communicate in English, both written and oral
- Must be accurate, energetic, enthusiastic, and driven
