Job Description
- Periodically conducts maintenance surveys and safety audits to determine repair/renovation needs of the building and facilities.
- Identifies maintenance issues such as clogged drains, leaky ceilings and pipes, faulty
- electrical switches, busted lights, dilapidated floorings, cracked walls, damaged furniture and fixtures, etc. and immediately reports to the COO.
- Determines the necessary installation or repair service, as well as the corresponding cost/budget.
- Creates project layouts (if needed) based on specs and design discussed by the COO.
- Coordinates with the purchasing department in sourcing out possible suppliers for the material requirements, canvass, orders and facilities procurement of various materials/requirements for the project.
- Sources out project based workers, monitors their attendance and the progress of their projects against target completion dates, and issues workers’ salary based on their daily attendance.
- Monitors and implements project schedule/timeline as set by the COO, submits regular reports and files maintenance records.
- Prepares punch lists and conducts quality inspection of projects prior to turnover and acceptance.
- Develops and implements maintenance, safety and cost-saving policies and procedures in close collaboration with the Quality Enhancement Group.
- Ensures that all facilities meet proper government regulations on business, environmental, health and security standards.
- Coordinates and provides oversight of the construction work of subcontracted contractors.
- Negotiates and coordinates with vendors, suppliers and subcontractors.
- Manages the cleanliness and upkeep of all building facilities and the premises.
- Coordinates closely with the Admin team and HR on the Security and Safety procedures of the company.
- Coordinates with the Security Agency on the effective implementation of security guidelines within the facilities to ensure that all assets of the company - both human resource and capital - are safe and secure at all times.
- Coordinates closely with HR on the implementation of the Disaster Preparedness Training.
- Coordinates closely with HR and the local Fire Station on the implementation of a company Fire Brigade and the annual Fire Safety Training program.
- Prepares monthly reports for the COO/CHRO and Admin Manager to inform them of the status update on issues pertaining to Facilities Management.
- During calamities, he is willing to be a first responder in the facility to ensure the safety of both personnel and property.
- Complies with the Master Operating Procedures (MOPs) at all times.
- Performs other tasks as may be required and as deemed necessary by immediate superior.
Minimum Qualifications
- With at least 3 years experience in sales, marketing, business development and customer-service.
- Graduate of any business-related course.
- Willing to travel.
- Resourceful, creative, persuasive and excellent in building client network.
- With good communication and presentation skills.
