Job Description

The Back Office Associate – Level 1 is responsible for entering and maintaining database, record and verify data from a variety of source of documents.

This role ensures accuracy and on-time execution of the interpretation, data entry, categorization, validation and submission of all documents in the database and other related system applications.

This role also includes coordination & communication with clients and ports to ensure clients deliverables are submitted on-time and accurately.

Data Management Skills. Maintains the integrity of the EdiSON and/or LIMA database through proper, accurate and timely entry/validation of (but not limited to) creating shipment booking entries (export and/or import), updating shipment details, creating job costs and other applicable back-office tasks related to the logistics operations. Such instructions and data will be received from the Cargo Services Far East offices/subsidiaries across multiple locations world-wide.

System Navigation Skills. Able to proficiently operate and navigate all major system applications related to the EdiSON or LIMA system for data entry purposes. The use of Microsoft Excel, Outlook and other such tools (where applicable) to ensure speed and accuracy of data entry is also a must.

Interpretation of Logistics Terms. Assesses and interprets Cargo Services Far East documents from related agents/subsidiaries across multiple locations world-wide, including other logistics documents from consignees, shippers and carriers prior to entry in the database. Familiarity with logistics terminologies is a requirement.

Customer Relationship Building & Coordination with Clients. Able to build rapport with counterparts and clients. Can establish a two-way, mutually, beneficial relationship that is based on professionalism and trust. Able to correspond with clients/counterparts on-time in all forms of communication tools (i.e. email, skype). Responds to clients’ requests & deliverables precisely with quality to the tasks at hand.

Minimum Qualifications

Education and Work Background

  • With experience working in a fast-paced environment.
  • At least 1 year experience working as a Data Entry Clerk or Agent in any field or industry.
  • Preferably 1-4 years of experience working for a Shipping and/ or Logistics company whether locally or abroad.
  • Fresh graduates are also welcome to apply including those with High School Diploma, Vocational Diploma, or Short Course Certificate.

Functional Competencies

  • Proficient in various computer applications such as Microsoft Office applications, internet browsing platforms, and other related systems – experience working with EdiSON, LIMA and New Look is a plus.
  • Good communication skills, both oral and written.
  • Ability to:
    • Understand and process information quickly and accurately.
    • Extract useful data from various and large databases or data sets.
    • Handle multiple tasks on a daily basis and under time pressure.
    • Work as an active member of the team or a business unit.
    • Communicate with any company personnel regardless of designation or role locally or overseas.
    • Adapt to a multi-cultural working environment (i.e. Hong Kong, China, etc.
  • Strong work ethic and possesses a can-do attitude when faced with challenges
  • Willing to go beyond the call of duty.

  • Has basic mathematical and analytical skills.

Must be able to work on flexible shifts including nights, weekends and holidays and amenable to be assigned to any CS-PAC office location.
