Job Description
This position will be responsible for supporting operations by developing and maintaining day-to-day relationships with suppliers as it relates to the ordering, tracking, returns, credits, and the invoice dispute process.
Responsibilities:
- Prepare RFQ's and participate in negotiation process and other non-recurring purchases.
- Perform supplier assessments, evaluations, and performance tracking according to purchasing procedures and requirements.
- Process purchase orders.
- Verify vendor pricing in compliance with contractual obligations and resolves any differences.
- Document processes and procedures.
- Compile and cleanse data to ensure the accuracy of purchasing information.
- Create requisitions.
- Verify approval authority.
- Issue purchase orders.
- Identify, qualify, and validate diverse suppliers.
- Maintain the Diversity database of insurance and certification certificates to monitor compliance with all governmental requirements.
- Manage small package delivery vendor relationship.
- This includes the audit, verification, and correction of invoices prior to payment by Accounts Payable and invoice dispute resolution.
- Maintain “Certificate of Insurance” folder/database.
- Manage the courtesy fleet calendar.
- Support questions, resolve issues, and manage supplier relationships related to Purchasing, Travel management, Wireless phone service, Small Package delivery, Multi-Function Print devices, Fleet, Office Supplies, WebEx, and Conference calling services.
- Provide reporting as required.
- Process review and improvement.
- Create and maintain contracts and catalogs.
- Manage implementation of new contracts into Ariba.
- Create and run reports.
- Create non-catalog items.
- Approve and process PO.
- Provide end-user training and support.
Minimum Qualifications
- Bachelor’s degree preferred
- At least one year of experience in procurement/buyer role or any equivalent experience.
- Preferably experienced with Lotus Notes.
- Preferably proficient with Ariba, SAP.
- Proficiency in MS Office applications such as Word and Excel.
- Data entry skills.
- Organizational skills.
- Excellent communication skills, both written and verbal.
- Proven attention to detail.
- Ability to deal tactfully, confidently, and ethically with both internal and external customers and suppliers.
- Ability to work independently.
- Self-motivated and can prioritize workload.
