Job Description

1. Registrar Operations

  • Adoption of Automated System utilized by the Registrar Department for Student Advising, Enlistment, Encoding of Grades, Records Keeping, etc.

2. Student Record Keeping

  • Maintenance of physical and computerized records of students which include: cumulative folders, progress, failure reports, class rosters, schedule changes, and grades, etc.
  • Processing of new student records which include: coordination and/or transfer of student transcripts from school-to-school and appropriation of a new student in the database
  • Collaboration with school administrators, faculty and select staff to answer inquiries relating to student data and policy questions
  • Timely Processing and release of Reports needed by other departments

3. Liaison to Government Educational Agencies (CHED & TESDA)

  • Compliance of both new and existing memorandum orders by governing bodies
  • Strict implementation of government procedures to ensure full compliance
  • Work with the different departments to satisfy compliance requirements

4. Organization and Execution of Enrollment Procedures and Graduation Ceremonies

  • Coordination and execution of Graduation Ceremony Logistics
  • Distribution and organization of all graduate materials and clearances
  • Manage and execute fluid flow of enrollment and provide assistance when needed
  • Provision of leadership to develop appropriate recommendations for the enhancement of the registry process

5. Update and Creation of School Master Calendar

  • Preparation of school calendar for the designated school year
  • Full understanding of school operations and the impact on the school calendar
  • Monitoring and update of school calendar to ensure accuracy and coordination

Minimum Qualifications

  • Graduate of any Business, Secretarial or Information Management related courses
  • At least 3 - 5 years of immersive experience in the execution and/or development of registrar policies and procedures
  • Must have a keen eye to specific details and procedures
  • Strong relationship - building and communication skills
  • Strong critical thinking and problem-solving skills
  • Excellent command of the English Language (both written and verbal)
  • Ability to work around new technological advancements is an advantage
  • Must show familiarity with automated enrollment processes and procedures
