Job Description

The Receptionist is in charge of welcoming members and guests and escorting and attending to them while at an Ignition space. The Receptionist shall also assist the Community Manager and the Assistant Community Manager in the performance of ad hoc tasks.

Responsibilities

  • Welcome visitors and clients at the front desk by greeting, welcoming, directing, and announcing them properly.
  • Keep the front desk tidy and presentable with all necessary materials such as pens, forms, paper, etc.
  • Courteously and happily answer the phone.
    • Screen and forward incoming phone calls.
  • Quickly and happily attend to the requests of the Ignition space’s users.
  • Receive and sort daily mail/deliveries/couriers.
    • Distribute them, forward them, and/or file them.
  • Take messages and relay them to the concerned personnel or client(s) in a timely manner.
  • Book reservations for the use of meeting and conference rooms and other facilities in the Ignition space.
  • Maintain security by following procedures and controlling access via the reception desk.
  • Perform other clerical receptionist duties such as filing, photocopying, collating documents, faxing, etc.
  • Assist in the provision of the Ignition space’s services to clients.
  • Monitor office/pantry supplies and place orders when necessary.
  • Pay bills and monitor costs and expenses.
  • Purchase tickets.
  • Notify members of mail and exclusive events, and assist in organizing events.
  • Keep updated records and files.
  • Substitute for and/or assist the Community Manager and Assistant Community Manager in the performance of his/her functions.
  • Create associations of trust and respect with key stakeholders, and effectively deal with external parties, e.g., regulators, external accountant(s), clients, etc., and create relations of trust with them.
  • Effectively handle ad hoc assignments.
  • Report significant issues to management/client.
  • Base decision making process on professionalism, ethics, and integrity.

Minimum Qualifications

  • A graduate of any 4-year course.
    • Tourism Management and HRM graduate is an advantage.
  • Preferably with work experience in any Hospitality industry.
  • Preferably female.
  • Highly skilled in greeting visitors and directing them to the right person or department.
  • Strong analytical and planning skills.
  • Good communication and presentation skills.
    • Fluent in English.
  • Excellent social skills.
  • Excellent problem-solving skills.
  • Well-versed in managing guests book and issuing security passes.
  • Proven record of answering or forwarding calls and taking messages.
  • Demonstrated ability to deal effectively with phone and email inquiries.
  • Ability to maintain an organized reception area.
  • Pleasing personality and looks presentable.
