Job Description
PRIMARY PURPOSE
Reports directly to Operations Manager (Ph), this role works with portfolio of assigned clients and providers, and expected to ensure all scheduling support requirements are met in an efficient and timely manner.
OPERATIONS
- Reports directly to Operations Manager (Ph) and performs assigned tasks in compliance with Operations department’s need and requirements.
- Uses online systems of Campaigntrack, client’s bookings manager and Jobtrack to manage job appointments and scheduling of Content Studio products and services:
- Photos
- Floor Plans
- Copywriting
- Videos
- Fresh appointments
- Drones
- Professionally and courteously assists clients and providers with any phone or email inquiries they may have regarding Operations and/ or other general queries regarding their overall scope and work guidelines.
- Receives and organizes client’s e-mail or phone booking requests, scheduling, cancellations of locked appointments, late bookings, etc. as requested by Account management team and/or providers.
- Forwards price adjustments requests for clients to managers, as required.
- Receives and processes help desk tickets in a timely manner via calls, emails or sms.
- Effectively communicates new client information, concerns or requests to Operations Manager PH for cascading to the team.
- Communicates scheduling and appointment concerns - providers running late, changes in schedule, etc.
- Reviews and shuffles appointments in advance to create slots.
- Checks the following when necessary:
- Agent portraits for location details
- Copywriting of jobs for selected elements
- Stand-by appointments
- Processes order transfers and other adjustments.
- Carries out any other work-related tasks deemed necessary by Operations Manager.
Minimum Qualifications
- Bachelor’s Degree in Mass Communication, Media, or equivalent.
- 1-2 years working experience in related field.
- Experience in the real estate or marketing industry is preferred, but not required.
- Excellent communication skills, both written and verbal.
- Solid critical thinking and problem-solving skills for issue resolution.
- Excellent time-management and multitasking skills to work on tight deadlines on a daily basis.
- Strong organizational skills.
- Ability to do the following:
- Establish and maintain customer and professional relationships internally.
- Represent Campaigntrack in a customer focused, professional, and courteous manner.
- Work autonomously and manage workload efficiently with minimal supervision.
