Job Description

Reports to the Operations Team Leader and Operations Supervisor. As Internal Services Coordinator, you will be required to contribute to the provision of quality service by providing administrative support to the sales team in a professional and efficient manner and will reflect the company’s reputation in the real estate industry. This will necessitate a high standard of personal demeanor. Supporting a team of professionals, you will be required to demonstrate initiative and work as an enthusiastic team member in accordance with the organization’s office routines and procedures, keeping in mind the overall business objectives. Success in this position will be dependent upon your ability to be proactive and anticipate areas where assistance is needed and demonstrative initiative.

Key Responsibilities:

Database Management

  • Ensure accurate entry of all client and property information into the company database in accordance with agency policies and procedures
  • Maintain and update all client contact action plans to ensure clients are serviced to a minimum agency standard

Agent Marketing

  • Take responsibility for the coordination of all agent marketing and placement of advertising material for individual agents in accordance with the advertising and marketing checklists and agency policies and procedures
  • Ensure the placement of all agent marketing is within the required time frame, budgetary limits and Operation Managers instructions
  • Liaise with the sales team for the approval of advertising proofs
  • Assist in the preparation of personal canvassing material and other associated prospecting correspondence designed to assist the individual agent to gain greater market share
  • Proof and check for accuracy all agent promotional material in accordance with the Ray White Group Brand Style guidelines
  • Coordinate all Just Listed, Auction Invitation and Just Sold mail merges
  • Coordinate all volume marketing and advertising checklists

Appraisal and Pre-Listing

  • Provide administrative support in the appraisal process in accordance with the listing checklists and agency policies and procedures.
  • Open appraisal files (computer copy)
  • Enter/update client and property data in the database
  • Prepare Marketing Submission

Listing

  • Provide administrative support in the management of listing in accordance with the listing checklists and agency policies and procedures
  • Prepare the listing documentation
  • Open the listing file (computer copy)
  • Attend to the electronic filing of listing documentation
  • Request, check and approve all contracts in accordance with the contracts checklist and agency policies and procedures

Exchange

  • Provide administrative support in the exchange process in accordance with the exchange checklists and agency policies and procedures
  • Attend to the filing of documentation associated with the exchange of contracts

Property Marketing

  • Co-ordinate all property marketing and placement of advertising material for individual properties in accordance with the advertising and marketing checklists and agency policies and procedures
  • Ensure the placement of all property marketing is within the required time frame, budgetary limits, Office of Fair Trading Guidelines and vendor’s instructions
  • Liaise with the sales team for the approval of advertising proofs by the vendor
  • Upload individual properties to the internet
  • Monitor internet sites for the sales team and action the required changes

  • All agency documentation and files are complete and accurate
  • All agent prospecting materials are prepared in accordance with the Province Agents Group guidelines
  • Timely reporting of all figures, data, and reports
  • Company policies and procedures manual is followed in full
  • Represent Province Agents Lower North Shore in a customer focused, courteous manner

Minimum Qualifications

Requirements

  • Extremely organized and meet daily deadlines
  • Excellent verbal and written English communication skills
  • Ability to communicate at all levels
  • Be systems orientated with attention to detail
  • Sound organizational and administrative skills
  • Adequate levels of computer literacy with accurate typing skills
  • Able to create a positive, everlasting impression with the most professional, courteous and expedient manner

Prerequisite

  • Completed Training & Development Induction
  • English language competency
  • Typing speed of 45 words or more with 90% accuracy
  • Previous experience in the real estate industry and relevant foam training preferred
  • Working knowledge of MyDesktop preferred but not essential
  • Working knowledge of Campaigntrack preferred but not essential
