Job Description
Job Summary:
Performs administrative tasks which include providing support to managers and employees, assisting in daily office operational needs and procurement.
Facilities and Security
- Ensures office areas are always clean and tidy with the help of our Office Assistants
- Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment
- The process needed documentation such as Work Permit and Gate Pass
- Assist visitors to the designated waiting area and ensuring visitors’ log book is maintained
- Greet clients and vendors upon arrival and direct them to appropriate offices
- Maintain duplicate keys and filing system
Supplies and Inventory
- Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies
- Closely coordinate with Accounts to ensure
PEZA-related
- Facilitate farm-in/farm-out processes
- Extension and processing of work and visa permits
Administrative Support
- Answer and direct phone calls to appropriate parties
- Organize travel by booking accommodations and reservations needs as required
- Produce and distribute memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
Minimum Qualifications
Job Requirements:
- Intermediate knowledge of Office Administration and Procurement processes, protocols, and procedures
- Basic Knowledge of Government and PEZA Regulations
- Good English communication skills both verbal and written
- Intermediate knowledge on making travel arrangements
- Working knowledge on finance with focus on budget and analysis is a plus
- At least one year of working experience in an administrative capacity
- Willing to work overtime or on weekends if needed especially during company-sponsored events
- Bachelor’s degree is preferred but not required
- Must be proficient in word processing applications such as MS Office, especially MS Excel
- Knowledge in Google Applications and mobile technology
