Job Description
The primary responsibilities of the HR & Admin Supervisor are: to oversee provision of administrative support services and to oversee HR support services such as recruitment, onboarding, training, compensation & benefits and performane management.
Administration
- Supervise and coordinate the daily activities and regular maintenance of the office
- Oversee purchasing and vendor management ie. screening, negotiation and review of third-party vendors/suppliers and contracts
- Manage the effiicient use and inventory of office supplies and equipment
- Assist with drafting, updating and implementing office procedures, policies and service standards in conjunction with management
- Assist with ensuring all legal and regulatory documents are filed and in compliance with local laws and regulations
- Assist with monitoring department attendance, productivity and costs
- Manage schedules and deadlines of admin-related projects
- Assist with coordination of required activities ie. SSR, department meetings, team-building, etc.
- Prepare required presentations and reports
- Provide general administrative support
Human Resources
- Support the day-to-day management of human resources and programs
- Ensure company compliance with local labor laws and regulations
- Responsible for recruitment, onboarding and offboarding
- Provide assistance and guidance on human resource policies, procedures, and benefits ie. management of employee health and travel insurance, etc.
- Work with departments heads in planning annual training and development needs for staff and selecting appropriate third-party/external service providers
- Manage employment and employee records ie. hiring, transfer, promotion, training and development & termination
- Responsible for data entry/maintenance of the HRIS system, assuring data integrity and responding to data requests
- Develop and implement processes to provide more effective use of the HRIS system
- Manage attendance and payroll processing activities
- Assist in planning, monitoring and appraisal of employee work results through coaching and discipline, hearing and resolving grievances and counseling
- Create, generate and maintain effective HR reporting to upper management
Minimum Qualifications
- Bachelor's degree in Human Resource, Business Management or any related field.
- Strong organizational and critical thinking/analytical skills with at least 5 years of professional experience
- Knowledge of HR concepts, practices, laws, regulations, policies and precedents
- Experience in payroll processing, recruitment & onboarding
- Ability to interact with all levels of management in order to provide company policy guidance and support
- Skilled in preparing presentations and formulating memorandums, policies and guidelines
- Self-motivated, proactive, and committed to continuous improvement
- Proficiency in Microsoft Office
