Job Description

Project Coordinators keep track of the team’s progress, ensure quality control throughout the design process, and that the project is completed in quality, on time and within budget. They are also intuitive of the design process in order to communicate the client’s brand. The Traffic/ Project Coordinator is responsible to cultivate better and more effective solutions by collaborating with both the Bluethumb creative team and the clients to ensure harmonious and long lasting relationship of the agency and clients.

Principal Accountabilities

  • Issue Job Orders to the creative team based on the feedback from the client
  • Keep track of the project load of the team and manage the timings of each project deliverables and revisions
  • Provide realistic project timelines to team and clients
  • Provide key dates for client to review and approve the creative work
  • Send prompt follow up emails regarding feedback from clients to ensure that the timelines will be followed strictly
  • Ensure quality control by making sure that the revisions sent by client is accomplished completely by Copywriters and Graphic Designers in quality, in full, and on time
  • Track the number of revisions made by the creative team and requested by the client to ensure the high quality of customer service and/or to send out necessary billing charges for major revisions from the client
  • Assure high quality of customer service by addressing the needs, requests for revision, and feedback of clients to communicate it accurately to the team and effectively resolves their concern and request
  • Inform client of information regarding the projects such as updates in the schedule and bills due to excessive revisions
  • Notify the Accounts Executive/ Office Manager when a job is completed, so the project can be closed and reviewed and ready for billing
  • Maintain client relationships through phone calls, emails, and presentations to constantly ensure smooth streamlined communications and uphold the quality of client journey the company provides
  • Weekly submits a project list which reflects updates of ongoing projects
  • Maintain constant communication with the clients to avoid idle projects and ensure that projects will be completed on time
  • Document Business growth (number of existing clients/projects, growth of business for retained clients, number of new clients, inquiries and success rate)
  • If necessary, promotes branding consulting services (upsell or cross sell)If the need arise, present Bluethumb credentials or provide questionnaire for walk-in clients or inquiring clients through phone.

Minimum Qualifications

  • Candidate must have at least a Bachelor's/College Degree in Communications, Marketing, Advertising, or related fields.
  • 1 - 2 years’ experience in the industry
  • Proficient in using MS Office (MS Word, PowerPoint and Excel)
  • Carries a professional demeanor
  • Excellent interpersonal, communication and customer-relationship skills
  • Ability to build lasting rapport
  • Good organizational and time management skills.
  • Impartial to people issues while maintaining focus on work outcome
  • Must be able to act positively and efficiently under pressure
  • Ability to motivate people
  • Ability to deal with presentations in a lively, inspiring and confident manner is an advantage
