Job Description

Summary of Work Activities and Responsibilities:

Under the supervision of the Operations Coordinator, the Visa Processing Assistant oversees compliance with Philippine law and University regulations on all immigration requirements of inbound students and visiting faculty. The position ensures that visa requirements are methodically and efficiently complied with.

Main Duties and Responsibilities

1. Visa Processing

  • Functions as a point person of the University at the Bureau of Immigrations (BI) and other associated agencies to address and attend to inquiries and requests
  • Assists the Operations Coordinator in implementing and disseminating to key University units and offices the guidelines for processing of visa requirements of inbound students and visiting faculty members.
  • Collates and monitors the completeness of all documents needed for visa processing.
  • Coordinates with concerned units and service contractors in requesting for required documentation for appropriate permits for visiting faculty
  • Implements protocols for the safekeeping and distribution of passports of inbound students and visiting faculty, once the Bureau of Immigration have released the appropriate permits or tourist visa extensions.
  • Tags students with incomplete requirements during enrollment and clearance period through AISIS updating.

2. Reports and Documentation Support

  • Regularly updates information needed in the INTRA AISIS.
  • Converts RO generated reports for submission to BI (Foreign Student Data with appropriate student permits).
  • Prepares orders for checks and liquidations related to required funds for visa processing.
  • Tracks and monitors DCB expenses.

3. Performs other university-related duties as may be required by the Immediate Supervisor and authorized representative.

Minimum Qualifications

Knowledge, Skills, and Abilities:

  • Good interpersonal, written, and oral communication skills
  • High level of integrity
  • Proficient in MS applications
  • Attentive to details
  • Time management and prioritization
  • Knowledge of Philippine visa processing, an advantage

Education and Experience Requirements:

  • Bachelor’s Degree holder
  • At least two (2) years of relevant work experience; visa-related work an advantage.
