Job Description
Under the supervision of the Program Director, the Finance Assistant shall provide direct administrative support to the daily operations of the AGSB-ME Group/Program. He/she shall be in-charge of administrative and financial documentations, tuition fee monitoring and other official receipts, advances, liquidations, expenses, and all other financial requests/requirements that ME Program may have. He/she shall keep track of all administrative records and documents, such as, but not limited to contracts / Memorandum of Agreements, attendance, leave / under time / overtime / offset forms and files, requisition form, and other Program files.
- Financials
- Efficiently handles reports and financial documents such as, but not limited to, ME Program’s accounts, official receipts of expenses, tuition receipts for tuition payment tracking, orders for check/s and, advances / liquidation / purchase request forms.
- Facilitates computation of ACE – ME share on monthly basis, for approval of the Program Director
- Processes and requests “Check orders” for payment to partner institutions, professors, and suppliers and prepare liquidation reports
- Administration
- Provides administrative support on employee/staffs relations and needs. Assist on inventory and requisitions for office supplies and equipment.
- Keeps track of ME staff’s attendances (overtime, leaves, offset, etc.)
- Training
- Provides support to the Training Group’s requirements, such as, but not limited to supplies and inventory.
- Provides assistance to students’ needs during classes, defense, and other program-related activities, should Training / Program Associate is not available.
- Documents Management
- Assists in the safekeeping of essential documents such as contracts, MOA (Memorandum of Agreements), approved financial documents / requests, and other program-related documents.
- Provides documentations and summary of attendances, tuition payments, deferments /withdrawals of students, and program-related expenses.
- Perform all other tasks assigned by the Program Director
Minimum Qualifications
- College graduate with a degree on Office Management, Business Administration, Human relations or any administrative related courses.
- Minimum of more than a year professional experience on Admin and Finance and Customer Service. Having worked for an Educational institution would be an advantage.
- Computer literate - Must be able to operate various MS Office applications, particularly MS Excel (ie. MS Word, Excel, Powerpoint, Google Drive applications)
- Time management - Must be able to work efficiently under tight deadlines/schedules, even with minimal supervision. Must be able to prioritize daily work load.
- Customer Service - Must be efficient with customer service and public relations. Must be able to communicate and relate well with other people, be it from different level of organization, society, or from different nation / nationality.
- Personality - Possesses engaging personality, patient, and can manage pressures well.
