Job Description

Under the supervision of the Assistant Registrar (AR), the Registration Officer for Quality Control assists in driving reforms and efficient operations in the quality of data and information stored, managed, and generated by the Office of the Registrar on behalf of the Loyola Schools community. This pertains to curriculum development, data mining for internal and external stakeholders, updating of various bulletins, guidebooks, manuals. This also pertains to the upkeep of the student information system and various online media.

Responsibilities:

  • Requests for Data and Information
    • Screens, mines and processes data required by various academic and administrative offices at the Loyola Schools and Central Administration. Examples of these are the offices of Graduate Programs, Academic Affairs, and Quality Assurance
    • Screens, mines and processes data required by external sources such as but not limited to ASEAN University Network, Philippine Accrediting Association of Schools, Colleges and Universities, Quacquarelli Symonds University Rankings, the United Board for Christian Higher Education in Asia, Commission on Higher Education and so on
    • Screens, mines and processes data required by students and student-related organizations
    • Reviews and updates information necessary for Bulletins of Information, Administrative and Academic Manuals, Student Handbooks and primers
  • Coordination for the upkeep of various online resources
    • Partners with the University Information Technology Resource Management Office in the mining of data and information requested by various stakeholders
    • Collaborates with the University Communication and Public Relations Office regarding the maintenance and improvement of the Registrar’s Office website
    • Coordinates with the Loyola Schools Management Information Systems Office in:
      • Ensuring effective automation of procedures, formulation of business rules
      • Enhancing the Ateneo Integrated Student Information System (AISIS); adding features, repairing glitches, updating/inputting of information by ensuring standard and proper use of nomenclature, codes, titles, formats, dates, etc.
      • Disseminating information, announcements through blasts announcements using AISIS and other internet resources
      • Disseminating registration related notices such as memoranda on registration dates and procedures, deadlines for completion of various registration related activities (course templates, finalization of course offerings, department initiated load revision, pre-enlistments, official class lists, etc.)
      • Properly implementing correct curricular versions on AISIS
  • Registration Process
    • Collaborates with the Course Scheduler to ensure correctness of course offerings:
      • Elimination of schedule conflicts
      • Adequate classes to match demand by advised students
      • Generating data from students’ Individual Programs of Study relevant to the completion of course offerings in time for enrollment
  • Assists in reviewing and updating the academic calendar as well as various forms and documents maintained and generated by the Office of the Registrar
  • Curriculum Development and Processing
    • Reviews, in conjunction with the Assistant Registrar, curriculum proposals in accordance with the recommendations of the Curriculum Committee, School Forum, School Council and Board of Trustees
    • Provides support and guidance to different academic departments to ensure their compliance with preparation of curriculum documentation/requirements for CHED
    • Partners with the Document Preservation Section in storing and backing up for archiving purposes updated CHED-approved curricular programs
    • Coordinates with the offices of the Associate Deans for Academic Affairs and Graduate Programs regarding curriculum revision, new programs, new subject offerings and ensures proper dissemination, encoding and implementation
  • Administrative Function
    • Develops innovative approaches that ensure not only proper implementation of office’ standards, processes, systems, and procedures
    • Stands as a resource for accurate and timely inputs on policies and procedures for records management and registration processes/ requirements
    • Oversees special projects
    • Maintains the Registrar’s Office’s social media presence through Twitter, Facebook and so on
    • Performs other duties and tasks as the School Registrar deems necessary to support the office’s business objectives.
