Job Description

The considered candidate will act as a Legal and Intellectual Property Assistant of our Land Registration and Legal Administration Processing Group.

Litigation Functions

  • Handle hearing schedules and liaising regularly with various courts as to the filings and requirements needed for the court filing of the ALI Group.
  • Research regulations, laws, and jurisprudence to assist the lawyer with the preparation of pleadings, legal opinions and other documents as may be assigned
  • Gather, examine and organize pieces of evidence and legal documents for the lawyer’s review and case preparation
  • Manage, organize, and maintain documents in proper filing systems
  • File and serve pleadings an and other documents to various court levels and other government agencies
  • Draft and proofread correspondence and other legal documents

Legal Assistant functions

  • Schedule meetings of lawyers (internally and with business units)
  • Handle administrative tasks for lawyers
  • Coordinate with various clients of the lawyers
  • Perform a variety of tasks to support lawyers
  • Assist lawyers in preparing for transactional closings, hearings, and conferences

Intellectual Property Assistant functions

  • Local trademark application and registration
    • Check requests for trademark application
    • Provide guidelines to business units in registering a mark, registrability of marks according to Trademark Rules
    • Conducts trademark search
    • Draft trademark applications
    • File trademark applications and other documentary requirements with the Intellectual Property Office of the Philippines
    • Coordinate with business units for marketing materials
    • Conducts research to gather marketing materials across various online platforms
    • Conducts research on trademark, copyright, and patent laws and infringement
    • Prepare responses to findings of trademark examiners, declarations of actual use, petitions for cancellation
    • Prepare documentary requirements for voluntary licensing of technology transfer agreements, assignment of trademark, abandonment of trademark applications, and cancellation of trademark registrations
    • Monitors the status of applications, registrations, and other requests
    • Monitor deadlines for filing of responses and declaration of actual use, payment of publication fees
    • Coordinate with trademark examiners and other IPO divisions for clarifications in office actions, procedures, and other requirements
    • Coordinate with external law firms for engagement proposals, settlement of billing statements
  • International trademark application and registration
    • Prepare documentary requirements for international trademark applications
    • Facilitates consularization of documents that need to be signed by SBU AIFs (To be filed in an IP office abroad)
    • Remind IP lawyers of deadlines
    • Request for engagement proposals from external firms based on the IP lawyer’s instructions and IP issue
    • Coordinate and set up meetings with external firms
    • Coordinate with external firms’ finance and SBU’s finance team to settle outstanding balance; Ensure that billings are settled
    • Conducts research if needed, especially for IP matters other than local trademark applications
    • Gather published marketing materials

Minimum Qualifications

  • Preferably a degree holder in Legal Management and/or other related courses
  • Must have at least 3 to 5 years of work experience in a law firm
  • Must have a background in assisting a litigation lawyer, particularly in preparing court pleadings
  • Must have a background in the transactions with the Intellectual Property Office of the Philippines
  • With good verbal and written communication skills
  • Has the ability to effectively multitask and handle different deliverables
  • Must be willing to be trained and to perform any other tasks required by the lawyers
