Job Description
Primary responsible for maintaining day-to-day administrative services essential to operations of the department.
Event & Meeting Administration
- Coordinates with other departments, vendors and external consultants to arrange meetings and training sessions, travels and conferences
- Prepares logistical requirements to ensure that meetings and events run smoothly
- Provides on-ground and pre-event support (i.e. encoding, ticket scanning for KTX events and experiences)
Social Media Administration
- Edits and posts scheduled marketing announcements in the KTX Facebook, Twitter, website and/or Instagram accounts
- Travel Administration
- Works with travel desk and travel providers to book domestic and foreign travel for foreign consultants and the departments
Preparation of MR/PR
- Coordinates office requisition/replenishment/utilization and inventory of office equipment and supplies
- Ensure timely requisition of office equipment/materials and ensure targeted delivery
- Provide operations support, billing and collection (training smeinars)
- Budget Preparation and Monitoring
- Assists/coordinates with the Finance Officer in the budget preparation for office CAPEX
- Monitor department's general and administrative expenses to ensure that expenses are within budget. Coordinate with FO regarding monitoring of expenses against budget
- Handle the department's petty cash fund and replenishment of the same
Report Preparation & Filing
- In cahrge of MOM, correspondences, documents and related materials following specific instructions as to format and contents
- Maintains record of incoming/outgoing docs
Onboarding of New Employees
- Coordinates & schedule onboarding orientation with the different corporate groups
- Asissts new employees in their requirements for employment and application/procurement of office resources
Others
- Assistance in the request for equipment repairs & janitorial services
- Updating of division telephone directory
- Inform/update the division of the new company policies and procedures
- Take active participation when there are department/company events/programs
Minimum Qualifications
- Bachelor's degree graduate
- Preferably with 1 to 2 years experience in admin function, fresh graduates are welcome to apply
- Highly organized, detail oriented, relationship building skills internally and external
- Good communication skills
- Highly proficient in MS Office applications
- Knowledge of Photoshop, Facebook, Instagram, Twitter, HTM
