Job Description

Gym Manager is responsible for every aspect of the day-to-day management of the Studio, with the scope of work in detail but not limited to:

Main Purpose of the Role:

  • Identify and provide required support for business operations (studio, gym, workshops & back-office support).
  • Ensure compliance with all pertinent laws relevant to business industry and operations (HR, Admin, Accounting, and daily Operations).
  • Championing inter-office procedure, policy, and implementation of company’s vision and mission aligned to business objectives from Management.
  • Provides historical reference of company by developing and utilizing filing and retrieval system (soft and hard copy).
  • Maintains professional and technical knowledge, benchmarking professional standards, reviewing professional publications, and establish personal network.
  • Responsible for meeting Profit targets of the establishment through efficient and effective operations and programs

HR & Admin:

  • Maintains organization staff by establishing a recruiting, testing, and interviewing program, counseling managers on candidate selection; conducting and analyzing exit interviews; recommending changes.
  • Prepares employees for assignments by establishing and conducting orientation and training programs.
  • Ensures planning, monitoring, and appraisal of employee work results by training managers to coach and discipline employees; scheduling management conferences with employees, hearing and resolving employee grievances, counseling employees and supervisors.
  • Ensures legal compliance by monitoring and implementing applicable human resource government requirements, conducting investigations, maintaining records, representing the organizations at hearings.
  • Completes human resource operational requirements by scheduling and assigning employees and following up on work results.
  • Identify and provide required support to operate, Admin & Finance, Sales & Marketing by establishing policies, procedures and work expectations.
  • Enforcement of the company rules, regulations, and established policies/procedures – stipulated in the employee handbook.
  • Maintain standards and efficiency of the company by implementing effective systems and procedures:
    • Attendance and monitoring
    • Salary, Benefits, and Overtime monitoring
    • Performance development of employees
    • Recruitment and training
    • Formulate, recommend, policies and applicable internal control procedures.
    • Maintain and monitor discipline, safety, and upholding company values within the team.

General Accounting:

  • Validate and align implementation of monetary, legal, and compliance procedures and policies:
  • Safekeeping of all legal documents i.e business permit, licenses, employee records, employee handbook, and other documents.
  • Guarding confidentiality of all documents in regard to salary and benefits, recruitment details, infractions of procedure, and other reports that are deemed important for the company.
  • Assist Accounting to oversee, monitor, and ensure all financial reports are accomplished on time and has proper justifications.
  • Ensures incoming and out-going of money is correct and recorded properly with proper tagging for accounting reference.
  • Monitors expenditures of the business and provides cost-efficient solutions to budget and monthly expenses.
  • Ensures that cashiering protocol and procedures are followed and documentation are filed accordingly with references.
  • Review all documents for approval for and on-behalf of the Management.
  • Provides report, which will be required by Management.
  • Performs other functions that may be subject to new policies.
  • In-charge of organizing, sorting, arranging, and managing file system in G-suite, tasks & calendars, etc.

Gym & Workshop Operations:

  • Enhancing profitability of the Gym by organizing and delivering appropriate range of fitness activities and programs.
  • Ensure that gym equipment continues to operate safely and efficiently, draw up inspection and maintenance schedules and update periodically. When a fitness machine or other piece of equipment gets worn down with frequent use, submit proposal for replacement or upgrade.
  • Monitor demand for different equipment to identify which pieces are used frequently and which are underutilized.
  • Review information on new services and make decisions about buying or leasing new equipment.
  • To generate income and profit for the business, expected to take actions to increase membership by drafting a marketing and advertising plan and or campaign to attract new members. Be able to come up with simple promotional activities targeting around the area businesses or locality to encourage fitness training and win new customers. Design promotions to individual members, such as discounts or free workouts, to get them to sign up. To retain existing members, he/she communicates regularly via newsletters or emails with special offers and incentives to renew membership.
  • Managing budgets, keeping statistical and financial record.
  • To ensure financial control, he/she analyze income and expenses, membership fees and equipment leasing costs to find out where the business needs to improve to ensure profitability.
  • Maintaining fitness equipment, ensuring compliance with health and safety protocol and policy.
  • Undertaking administrative tasks by dealing with enquiries, complaints, and emergencies.
  • Maintaining customer standards, promoting and marketing the business.
  • Ownership of training calendar and championing programs that sells.
  • Work-with the General Manager and or Managing Partner to draft, update, create general training syllabus.
  • Acts as liaison for and on-behalf of the studio, strategic partners, and vendors.
  • Make sure that the customers are safe and enjoy their experience at the gym.

Minimum Qualifications

EDUCATION & EXPERIENCE:

University degree (preferable but not required), bachelor’s degree in Sports Science, Physical Therapy, and or Human Kinetics with proven work experience in the same function and industry for a minimum of three (3) years. With excellent organizational skills, can work with minimal supervision, proactive and can multitask and prioritize daily workload. Basic understanding of office management systems and procedures.

PROFESSIONAL COMPETENCY:

Have a high interest in health and fitness, frequents the gym and or have a regular exercise habit. Personable and must be able to relate with the members and gym personnel. Martial arts experience a plus. Must be able to communicate and articulate his/her thoughts. Familiar if not expert in use of tools like G Suite, calendar, notes & keep. Good working knowledge with MS Excel, Word, Powerpoint. With competent negotiation skills and shows a high-level of professionalism and business ethics.
